Tutorial Step 6: Assign Products to Stages or Work Packages

Note: This topic is part of the tutorial sequence to learn ChangeAide 3.3. The first step in the tutorial is Create a Product Breakdown Structure (PBS).

to Assign Products to Stages or Work Packages

Assigning a product to a stage, or work package creates a dynamic link between the activity and the product.

When you select an activity that is assigned to a product, the corresponding product is also selected. This gives you quick access to product information.

The assignment also lets you quickly identify products that have not been included in the plan. Use View >> Show Products Not Used

  The following steps take you through Assignment of Products to Stages or Work Packages
View the PFD Select the PFD tab.  We will use the PFD to provide the structure for assigning products to stages or work packages.
Assign a product to an activity
  1. In the PFD, select a product to assign to an activity.  This will also select the product in the Product Checklist.
  2. Select the furthest left blue column on the Product Checklist, hold down the left mouse button and drag the mouse down towards the Project Activities List.  As you start to drag, the cell colour changes to green.
  3. Drag the mouse onto the row for the stage or work package you want to assign the product to.
  4. Note:  You can only assign products to activities that are stages or work packages.

  5. Release the mouse on this row.
  6. Notice that 3 new activities are created in the Project Activities List:
    • [Product Name] (the activity type is Create Product)
    • Create [Product Name] (the activity type is Activity).
    • Note: This will be  Obtain [Product Name] for External products.

    • Quality Check (the activity type is Quality Check).

Note:  You can also carry out this task by right clicking a product in the PBS or PFD, moving the mouse to Link Activities to Products and choosing Insert Product(s) in Activities List.

  1. Select the Stage or Workpackage
  2. Select one or more products on the PFD (hold down the <shift> key to select more than one product)
  3. Right Click
  4. Move the mouse to Link Activities to Products
  5. Choose Insert Product(s) in Activities List
Create activities to match the Moved Shed example

The activity names added above are default names. Now you can edit these names to match the names in the PFD on Page 173 of 'Managing Successful Projects with PRINCE2'. You will also add any new activities that are required.

  1. Add each product to the Project Activities List. This will create activities for these products as above.
  2. Edit the names of the activities in the Project Activities List to match the example PFD.
Save your project
  1. From the File menu, choose Save As.
  2. Save your project in the examples folder: My Documents\My ProductBasedPlans\Examples.
  3. Save your project as AssignProductsToActivitiesTutorial.
Open the example project
  1. From the File menu, choose Open.
  2. Browse to the examples folder.
  3. Open ShedExampleActIV00.PBP. This shows the finished version of the above tasks.
